For this policy:

“The Retreats Group” refers to Twr y Felin Hotel, Penrhiw Priory and Roch Castle.

Personal information means information about you that is personally identifiable like your name, address, e-mail address or phone number, and that is not otherwise publicly available and is not part of your work identification.

Your Personal information may be gathered in the following ways:

1. Making a reservation.

2. Providing the information to us by participating in a marketing initiative.

3. In order to continue to purchase and or provide goods to your company.

Below we will outline the type of information normally collected in each of these circumstances, the reasons for doing so, how we will use it and store it.

When making a reservation with any of our properties it is necessary for us to gather the following information in order to identify you, to be able to contact you and be able to process your reservation. This information will usually include your name, address, phone number, e-mail address and your credit card number and expiration date. We may gather other information such as dietary requirements and special requests.

From time to time, we may offer packages or other services that involve third parties. If you are partaking of such a package or service, your personal information will be shared with that third party to the extent necessary to provide that service and process the purchase or request.

The Retreats Group may use the information you provide to send you offers and information about our services. If you do not wish to receive such offers and information you may unsubscribe or opt-out by sending an email to marketing@retreatsgroup.com, using the subject line “Unsubscribe”, so indicating your request with sufficient personal identifiers so we can appropriately act on your request. All our marketing communication of this type will also contain instructions for unsubscribing.

For contractors on a monthly basis we will use your details to send invoices and other any other communications regarding your account. The data will be used for this purpose only.

When would we disclose any information?

We disclose personal information only in these limited circumstances:

We may disclose a guest’s personal information to an agent of the guest – for example, a travel agent who is booking a reservation on behalf of the guest

Personal information will be shared with the Twr y Felin, Penrhiw Prioy or Roch Castle so that they may provide the services you have reserved.

Personal information will be shared with a third party involved in supplying the guest with the services they have purchased to the extent necessary to effect the supply and the processing of the transaction.

Personal information may be shared with an agent retained by The Retreats Group to evaluate a customer’s credit worthiness or in order to collect a customer’s account.

Personal information may be shared with a public authority or an agent of public authority if in the judgment The Retreats Group it appears that there is an imminent danger to life or property which could be avoided or minimized by disclosure of the information, or which disclosure is compelled by legal authority.

Principles

The Retreats group will only collect and use your personal information for the purpose that has been identified.

We will ensure your information is protected when we deal with 3rd parties.

We will honour your request to access your personal information in as timely fashion as possible.

You may withdraw your consent to the use of your personal information for marketing purposes at any time, subject to legal or contractual restrictions and reasonable notice, by clicking the appropriate link on the email or by e-mailing us on marketing@retreatsgroup.com using ‘Unsubscribe’ as the subject line, and providing us sufficient personal identifiers so we can act effectively on your request. The Retreats Group Ltd is fully committed to the principles of environmental sustainability through identifying and addressing the environmental aspects resulting from and associated with, its activities, products and services. In addition, the promotion of the conservation of natural resources is recognised as a priority consideration for the business and for the communities in which the business operates.

The purpose of this Policy is to ensure that all relevant activities, products and services of the organisation are identified and carried out in compliance with the relevant in-country environmental legislation and other requirements including but not limited to Prevention of Pollution.

Retreats group Ltd operates to support its Customers to reduce the environmental impact of their business activities and improve environmental efficiency through Objectives, Targets, Systems and Programmes. This includes but is not limited to:

Increasing the deployment and delivery of sustainable services and solutions, which contribute to the reduction of Greenhouse Gas Emissions.

Increasing energy and resource efficiency in the design of all our Properties.

Enhancing the environmental efficiency of its business facilities to reduce the

consumption of energy and other natural resources (e.g. water, waste).

Comply with relevant environmental Standards and regulations as well as with

Authority & Accountability

An Environmental commitee acts on behalf of the Company director to set policy, regularly review and authorise plans at the management level, receive reports on rehearsal and implementation of plans as well as constitute the highest level of management for environmental activities.

The Environmental Committee shall identify owners of processes by which environmental risks, opportunities and aspects of The Retreats Group Ltd business activities are understood and managed in compliance with the international requirements and where relevant, in compliance with country/regional legislation.

All members of the Group are accountable for the implementation of this Policy within their area of Responsibility.

The Policy Owner shall:

Ensure that all relevant Employees are aware of and, where appropriate, trained in the operation of this Policy and any changes to it;

Ensure that any changes to the Policy or its associated Processes are duly authorised, for example by a suitable management meeting;

Ensure that Processes are specified and maintained to enable Retreats Group Ltd to achieve its strategic objectives in respect of this Policy.

Employees:

Each Employee in the organisations to which this Policy is applicable must comply with it and with its associated Processes.

Any Employee found to be in breach of any Policy may be subject to disciplinary proceedings that may lead to dismissal.

Access Statement for Twr y Felin Hotel, St Davids, Pembrokeshire SA62 6QT

Introduction

Twr y Felin Hotel is located in Br­­itain’s smallest city, St David’s, Pembrokeshire. It offers 39 ensuite bedrooms including two suites; all of which have Super King Sealy beds. Each room has the option to have it made up as a double or twin room. The largest luxury room is located in the Observatory Tower and is spread over two floors, with full access to the Observatory, allowing a spectacular 360 degree view of the St David’s peninsula and the surrounding area. Thirty-eight of the rooms have an ensuite bathroom with a separate bath and shower and just one with a shower above the bath. All rooms have ample space and storage. Most of our rooms offer a coastal view and 14 of which have a private terrace area or sit out balcony, with seating, to take in the beautiful coastal scenery.

Twr y Felin Hotel is a luxury contemporary art hotel with over 250 pieces of specially commissioned art, inspired by St David’s and the surrounding peninsula. Originally a windmill dating back to 1806, Twr y Felin has been transformed into the spectacular building that we see today. The Tower is the obvious remaining feature of a historic building, that has had many uses over the years. It now offers luxury accommodation, with each room meticulously designed and finished to an exceptionally high standard.

The location is perfect for coastal views and of the surrounding peninsula, approximately one mile walk down to the local Caerfai beach. We are located within a 5 minute walk of St Davids City and the historic St Davids Cathedral and a thirty minute walk to Whitesands Beach and the Pembrokeshire Coast National Park coast path.

Pre-Arrival

Simply enter your postcode and ours, which is SA62 6QT to get your travel options or directions.

  • The nearest international airport to Twr y Felin Hotel is Cardiff Airport, 111 miles away. Or Haverfordwest Airport, which provides air charters, is 7 miles away – www.flywales.co.uk.
  • The nearest railway station is in the town of Haverfordwest, 16 miles from St Davids. Trains from Haverfordwest connect with services at Swansea. By train from Paddington (London) to Haverfordwest is 4.5 hours.
  • Taxis are usually available at Haverfordwest train station. We can book one for you in advance at approximately £45 each way.
  • The nearest bus stop for the T11 Fishguard – St Davids – Haverfordwest service (operated by Richards Bros) is located on New Street, St Davids, please ask your bus driver to stop here. The bus stop is approximately 500m from Twr y Felin Hotel. Visit www.richardsbros.co.uk for the latest timetables.
  • The nearest shops are approximately 700m away via a country road with a slight hill.
  • As Twr y Felin Hotel is a hypoallergenic venue, we do not accept dogs, and for the comfort of our guests, we do not allow dogs to be left in the car park overnight. We do of course welcome assistance dogs.

Car Parking and Arrival

  • Twr y Felin Hotel has a gated entrance which leads onto a tarmacked driveway.
  • The car park is located directly outside of the hotel and is set in the private grounds of the property.
  • Disabled bays are clearly marked and are located close to the main entrance.
  • Access to our property is gained from the tarmacked car park, which leads to two entrances, either the Reception or Restaurant, both are sign posted above each entrance.
  • There is a glass door that you push for access, this will take you in to a carpeted porch.
  • A second glass door will lead into a tiled hallway and reception/welcome area.
  • This outside area is well lit at night.
  • Access to both main entrances is all at ground level.
  • For late arrivals, you will be able to gain access by pressing the ‘call’ button to the right of the entrance and a member of staff will attend.
  • Assistance can be given with luggage.

Bedrooms

  • There are 39 bedrooms at Twr y Felin Hotel, spread over two wings. Windmill Wing and Oriel Wing.
  • There are 28 rooms located in Oriel and Garden wing. 16 of which are all at ground level. The others are accessed via a door to a staircase, that leads directly to each room, or via a lift. A handrail is available on one side of the stairs. Emergency exits are also available at the bottom of each staircase.
  • There are eleven rooms located in the Windmill Wing. All of these are accessed via the lift from the ground floor or via two staircases. Each staircase has lighting and handrails for support. There are small windows for ventilation. All bedrooms are accessed through a fire door on each floor and then individual doors to each room. All rooms are at ground level access to the hallway.
  • There is one room on the second floor that provides access to the Observatory Tower. This room consists of two floors, accessed via lit staircases and then access is provided to the Tower by a steep staircase and a small door. This staircase is not suitable for our less mobile guests. Once inside the observatory, a standing room is available comfortably for approximately four people. There are raised platforms inside the observatory and seating that can be pulled out of its pocket. Original windows surround the Observatory, providing a 360 degree view of the surrounding area.
  • Each bathroom is tiled floor to ceiling and all except one room has walk in shower cubicles. Each shower has individual temperature and power controls and an adjustable shower head. All shower flooring is non-slip, however, bathmats are provided in each room.
  • Room 123 is accessed on an even level but has four steps leading down to the bathroom. Sliding wood doors allow access to the bathroom, at the bottom of the stairs. The stairs are well lit.
  • Room 116 is accessed on an even level but has 4 steps leading down to a dressing area, where the wardrobe is located, and the bathroom. The stairs are well lit.
  • All rooms have a built in bath and one room has a free standing bath.
  • Room 120 provides a shower head above the bath and is only accessed by stepping over the edge of the bath. This shower is still to the same standard as the other rooms and has its own temperature and power controls. A glass screen, which will open, prevents water from escaping onto the floor.
  • All rooms have sash windows for ventilation and individually controlled heating. This is either controlled at the radiator or by the dial on the wall for underfloor heating.
  • Your bed combines the highest quality Sealy mattress with a luxuriant, hypoallergenic Comforel topper, pillows and duvet and 300 thread linens.
  • Each room has seating, bedside tables, bedside lamps, a wardrobe and a desk.
  • Flat screen Smart TV. With subtitles available.
  • Telephones for internal and external charged calls.

Public Areas

  • All public areas, halls, stairs, and landings are well lit using a combination of floor, ceiling and table lamps.
  • The main hallway is Portuguese limestone.
  • The dining room is situated to the right, the bar is to the left. Access to the upper floor bedrooms can be accessed through doors to the left and right of the Office, via the staircases. Access is all at ground level.
  • Lift access is available to the upper floors from the restaurant entrance area. The door will open outwards and allow access to the first and second floors. Access is at ground level.
  • The bar has solid wood flooring and a large leather rug covering 70% of the floor. Direct access to approach the marble top bar, has exposed wood flooring. The seating area consists of leather chairs, solid wood tables and brushed velvet sofas. Emergency exits are located here.
  • The dining area has limestone flooring with large leather rugs in each seating area. The main walkways are exposed limestone and allow easy access to adjoining rooms.
  • Access to the Oriel wing is through the tiled hallway, to the right of the Main Entrance. Public toilets are also at the end of this hallway. Access is all at ground level.
  • The public toilets on the ground floor, are accessed by the main hallway and are accessed via one door. There are separate toilets for ladies and gentlemen.
  • An accessible toilet is adjacent to the public toilets and provides ample room for both disabled access and baby changing facilities.
  • The stairs are wooden with a non-slip grip on each step and handrails for assistance.
  • The hotel is fully centrally heated throughout, temperatures can be adjusted via a radiator or by the dial on the wall, in each room, to suit individual requirements.
  • There are automatic audible smoke alarms in the main and upper halls, bedrooms, reception areas and kitchen.
  • Each room has a wooden floor and large windows allowing plenty of natural light, supplemented by adjustable overhead lights and floor lamps.
  • There is a fridge in each room, located below the desk in the Oriel and Windmill Wing rooms or in the fitted wardrobes in the Garden Wing rooms.
  • In the dining room, there is seating for 36 people at wood tables with leather seated chairs. There is a coordinating wood cabinet with a marble top where guests can help themselves to cereal, fruit salad, yoghurts and croissants during breakfast service. Assistance can be provided on request.
  • In the Oriel, there is a large carpet covering 80% of the floor. This sits on top of the limestone tiles.
  • The Oriel provides an open plan seating area with access to the lower floor bedrooms and exits to the outside terraces.
  • To the right of the Oriel is the Reception Area. There is an open doorway leading through to the area, where there is a large double desk that our Reception Team work from. There are 8 suede tub chairs in the Reception area.
  • At the far end of the Oriel, there is an open doorway leading to the Garden Wing.
  • Wooden doors to the left of the Oriel, allow access to six bedrooms, five of which are ground floor rooms and one upper floor. Each of which has a private terrace area with furniture.
  • Wooden doors to the right of the Oriel provide access to two ground floor rooms, each with additional private access doors and two upper floor rooms, one which is used as a treatment room and the other that is a bedroom, with a Juliet balcony with views over the Reception roof towards the coast.
  • There are 2 bedrooms on the ground floor that provides access for guests that require wheelchair access or an accessible bathroom.
  • All open areas are available for guests to use and enjoy the hotel’s wide collection of artwork.

Garden

  • For all guests to use, there are landscaped gardens, all at ground level, located at the front of the property. There are picnic benches, sun loungers and tables and chairs for guests’ use.

Additional Information

  • There are ‘In Case of Fire’ instructions located in the guest manual, which is available to view on the website with a password provided when a reservation is made. Evacuation routes are also available on the inside of each Bedroom door. This will show you the quickest available route for you to evacuate the property.
  • There is an information folder for each of the bedrooms with maps giving information on NHS facilities, local restaurants/pubs, travel, theatres and local golf facilities.
  • There are speakers in each bedroom and bathroom, which connect to the TV. You can also plug in your own devices via a Jack or HDMI cable.
  • Wi-Fi facilities are also available throughout the property.
  • We are able to accommodate dietary requirements and allergies. Please advise us of your requirements to ensure we are able to meet your needs to avoid any disappointment.
  • We can refrigerate prescription medication and additionally store any perishable food in our fridge for a limited period.
  • Mobile phone reception at Twr y Felin Hotel is generally good.

Twr y Felin Hotel and sister venues Penrhiw Priory and Roch Castle are passionate about their environmental impact and strive to continually identify and improve their practices.

The Green Key

The group has developed and expanded its sustainability policy with a view to achieve the Green Key award for all three venues, which is a leading standard of excellence in the field of environmental responsibility and sustainable operation within the tourism industry. In 2019 the group achieved their goal after making positive changes to their working practices, to enhance the existing sustainability policy.

Grounds and Buildings

  • Penrhiw Priory is the flagship venue of eight business in the Pembrokeshire Coast National Park Authority’ Naturally Connected Programme, due to its 12 acres of biodiversity Wild Flower Meadow and Woodland Walkway.
  • Electric or battery operated gardening machinery.
  • We have planted 1000’s of trees and shrubs in the grounds at all three venues.
  • We use Car y Mor (love of the Sea), seaweed fertilizer on our grounds.
  • We have Water Refilling Station signage outside each of our venues.
  • We use LED bulbs throughout the 4 venues where possible.
  • Our eco-warrior team turn off plugs and lights whenever possible
  • We have solar panels on our roof at Twr y Felin Hotel.
  • Water saving taps, which limit the flow of water used.
  • Electric car charging for guests at all of our venues.
  • We often car share and encourage those that live close to walk or cycle.
  • We offer bicycle parking and storage.
  • We have the Visit Wales’ walking and cycling accreditations.

Receptions and Offices

  • We are almost 100% paperless. In terms of our guests, all contact is done by phone or email and we have an app displaying our room directory, local information on where to go and what to see
  • Guests can check in and out and pay their bills online and view the menus and information on the local area by using our app.
  • All of our files are created digitally and we ask our suppliers to use a digital process for invoicing.
  • We have a recycling system and recycle all possible items, including batteries, crisp packets.
  • Paper pens are used instead of plastic ones which can be recyclable.
  • Recyclable printer ink cartridges.
  • Compostable Cellotape from plant based material

Housekeeping and Laundry

  • We clean our own laundry locally to reduce carbon footprint and use non biological hypoallergenic powder to clean our linen.
  • We use hypoallergenic cleaning products for the rooms, public area and kitchens in all 4 buildings that are environmentally friendly.
  • We offer refillable toiletries in our bathrooms, including shampoo, conditioner, body/hand wash and body lotion.
  • There is signage in the bathrooms encouraging guests to reuse towels.
  • Recyclable bins are in all bedrooms for guests to use with biodegradable bin liners.
  • Sustainably produced toilet paper and tissues for desk in rooms

Kitchens

  • We source as much produce as possible from local suppliers, including seafood from Car y Mor, an environmental initiative in St Davids.
  • Biodegradable cling film.
  • Silicone covers for food containers
  • We use aluminium foil made from recyclable materials.

Restaurant, Bars and Lounges:-

  • We offer locally sourced bottled water and so we can recycle them and reduce our carbon footprint with local deliveries.
  • All other drinks are offered in glass bottles.
  • We use paper straws, take away cups and lunch boxes.

The Future

One part of the group’s weekly Heads of Department meeting is to brainstorm for ideas to develop our sustainability practices.

On a small scale we hope to continue identifying small things such as items we can reuse and recycle. On a larger scale we plan to switch our group vehicles from diesel to electric in the next 5 years and work towards becoming carbon neutral.
